NEGATIVO.ES · LAB № 10 · A PHOTOGRAPHIC INVESTIGATION
WHEN THE LAB LOSES THE ROLL
The receipt says six. The download folder says five. The sixth has developed an interest in silence.
A calm missing-film workflow: receipts, identification, tracing and realistic recovery. A practical shooting script in four acts and eight scenes. The steps come first; the reference notes stay in the case file.

ACT 01
Before it disappears
Build the paper trail
List stock, format, identifiers and processing at handover. Photograph labelled packages without exposing film; retain the receipt or postal tracking. Confirm returns, retention and scan expectations. Use the lab’s accepted labels. Critical identity should not live only on packaging they discard. A paper trail is boring until it becomes the protagonist.
Exhibit 01 · Make a handover list Procedure illustration · follow the exact equipment instructions
Make a handover list
INT. STUDIO - PACKING TABLE
List each roll by a unique identifier, stock, format and requested process before packing; include any special scan or return instructions.Photograph the sealed, labelled package without opening it and save the image with the date and order notes.Retain the receipt, tracking number and the exact lab address; make a copy of the roll list separate from the parcel.Use one row per roll, with a stable identifier that does not depend on the subject name. Record the process request and any push, pull or special scan instruction beside the identifier, not in an unrelated message.Do not skip this. Do not put sensitive personal details on an exposed outer label.
EVIDENCE · BEFORE YOU MOVE ON
A dated handover record ties every roll identifier to the shipment and proof of dispatch.
Agree the return
INT. LAB COUNTER - DAY
Ask which identifiers survive after outer packaging is discarded and use the lab’s approved label or order form for roll-level identity.Confirm expected scan delivery method, physical negative return method and any stated retention period; save the response.Keep the lab order reference alongside your own roll list rather than relying on a name-only email thread. For postal handovers, save the carrier acceptance record and later delivery confirmation. For in-person handovers, ask for a receipt showing the order number and roll count; photograph your own inventory before leaving.Do not skip this. Retention periods and return practices vary; do not assume unclaimed film is kept indefinitely.
EVIDENCE · BEFORE YOU MOVE ON
You have the order number, acknowledged roll count, delivery expectations and a preserved copy of the original inventory.
ACT 02
Count the evidence
Separate missing scans from missing film
Compare physical strips and sleeves against scan folders and the order. Film may exist while an upload is incomplete. Check spam, portals and split deliveries. Record exact gaps and duplicates; preserve original downloads. If another customer’s images arrive, notify the lab privately. Their photographs are not public evidence for your complaint.
Exhibit 02 · Count film and folders Procedure illustration · follow the exact equipment instructions
Count film and folders
INT. STUDIO - REVIEW DESK
Compare the handover list with the lab order and every physical sleeve or strip returned; count those separately from digital files.Check the portal, download link, spam folder and any split delivery notice before deciding that scans are absent.Keep original downloaded files unchanged; make a separate working copy if you need to rename or sort them.Check whether the portal groups files by order, date or roll. Search the full order reference and inspect any “ready” or “partial” status instead of assuming a completed email means every roll is present.Do not skip this. Avoid deleting or overwriting original delivery files while investigating.
EVIDENCE · BEFORE YOU MOVE ON
A simple table marks each roll as received physically, scanned, both or unresolved.
Document the precise gap
INT. COMPUTER ROOM - NIGHT
Compare filenames and image sequences against roll identifiers, noting missing sets, duplicate files and any blank or failed scan notice. If a sleeve exists but its scan set does not, describe it as a scan gap; if both are missing, record that as a different unresolved condition. If another customer’s images appear, stop viewing, do not share or post them, and contact the lab privately with the filename and order context.Write down each physical sleeve label exactly as received, including handwritten marks. If a sleeve is unlabeled, do not assign it to a roll based only on a familiar subject; ask the lab to identify its records.Do not skip this. Protect other customers’ images and personal information; do not treat accidental delivery as permission to publish.
EVIDENCE · BEFORE YOU MOVE ON
The discrepancy list states exactly which physical items and digital sets are present, absent or duplicated.

ACT 03
The telephone scene
Ask for a trace
Give the lab order number, date, stock and identifying subjects. Trace receipt, processing, scanning and return separately. Ask for a written update and next contact date. Existing negatives may be rescanned; missing film needs confirmed findings and the lab’s terms. Recovery and compensation are not promises; agreements and local rules differ.
Exhibit 03 · Send a trace request Procedure illustration · follow the exact equipment instructions
Send a trace request
INT. PHONE DESK - DAY
Contact the lab using the order reference, handover date, roll identifier, stock and one recognisable subject description; keep the description non-sensitive.Ask the contact to trace receipt, processing, scanning and return independently, and note what records each stage shows.Ask for a written update and a specific next-contact date; record the person’s name and the time of the conversation. When contacting the lab, keep a short chronology: sent date, delivery date, notification date and each response. Attach the chronology to a specific question so the recipient can check records rather than reconstruct your memory.Do not skip this. Keep the tone factual; do not present an unverified suspicion as a finding.
EVIDENCE · BEFORE YOU MOVE ON
The request has a case reference, named contact, separate stage questions and an agreed follow-up point.
Agree the next update
INT. EMAIL DESK - LATER
Send a concise summary of the discrepancy and attach only relevant proof such as receipt or order reference, not unrelated customer material.Ask whether existing negatives can be rescanned if the film is located; if film is confirmed lost, request the lab’s written findings and applicable terms.Preserve the sent message and response in the order folder, including any corrected information or changed estimates. If the lab asks for more identifying details, provide a small number of distinctive, non-private frame descriptions from your own roll. Avoid sending unrelated images or another customer’s material as an example.Do not skip this. Recovery, reimbursement and remedies are not guaranteed; agreements and local rules differ.
EVIDENCE · BEFORE YOU MOVE ON
A written trace request and lab response are saved with the original evidence.
ACT 04
Close without rewriting
Keep the record honest
Record recovered items, unresolved gaps and confirmed facts. Keep correspondence with the order; do not convert suspicion into a processing verdict. Next time, use clear labels and a handover list. Negativo can hold lab, dates and reference. It is a ledger, not a supernatural service for recreating a lost latent image.
Exhibit 04 · Separate findings from suspicion Procedure illustration · follow the exact equipment instructions
Separate findings from suspicion
INT. STUDIO - CASE FILE
Update the inventory with recovered items, confirmed facts, unresolved items and dates; keep speculation in a separate clearly labelled note or omit it.Match any recovered negative sleeve or scan set to the original roll ID before changing its status.Do not convert an explanation such as “not found yet” into “destroyed” unless the lab confirms that finding. When a scan set appears later, compare its identifier and sequence to the original inventory before closing the issue. Mark the date it arrived and preserve the original gap report; do not silently erase the delay.Ask whether the lab has separate internal identifiers for sleeves, scan folders and shipping parcels; record those identifiers in your chronology without assuming they refer to the same physical stage.Do not skip this. Avoid publicly accusing a person or business based on incomplete tracking information.
EVIDENCE · BEFORE YOU MOVE ON
The file distinguishes verified outcomes from open questions without erasing earlier correspondence.
Improve one weak link
INT. PACKING TABLE - NEXT ORDER
Choose the weakest checkpoint revealed by the incident: a roll-level label, duplicate inventory, receipt retention or delivery confirmation.Use the improved method on the next order and photograph or copy the new handover list before shipping.Keep the lab name, dates and reference in a paper or digital ledger; use any app as a record, not a recovery service. If an item is confirmed lost, request the lab’s written description of what searches were made and what records remain. Keep the discussion of any remedy separate from the factual record of the missing material. If the lab provides a revised estimate, note it as an estimate and keep the original date. A changed estimate is useful history, not confirmation that a roll has been found.Do not skip this. Better records can support tracing; they cannot recreate a missing latent image.
EVIDENCE · BEFORE YOU MOVE ON
The next shipment has a traceable roll list and preserved handover proof.
